1. DATA COLLECTION & INTENTION

HOLIDAYCOVE respects the privacy of our distinguished clientele. We collect personal information solely to design bespoke travel itineraries and handle necessary arrangements. We never sell, lease, or distribute client data to third-party marketing firms.

When you engage with our planning studio, the details you share — destination preferences, travel dates, guest names, dietary requirements, and accessibility needs — are used exclusively to construct your itinerary and coordinate with our partner properties. We do not use this information for profiling, advertising, or any purpose beyond the services you have requested.

Aggregated, anonymized statistics may be used to understand broader travel trends and improve our service offerings. Such data contains no personally identifiable information and cannot be traced back to any individual client.

2. INFORMATION WE COLLECT

Information provided directly through our interactive planning studio, contact forms, or newsletter subscriptions (such as email addresses, destination preferences, and travel dates) is encrypted and stored securely using local frontend mechanisms.

For newsletter subscriptions specifically, the email address you provide is stored locally within your own browser and is never transmitted to a remote server. This means it is not added to any external mailing list database, and no third-party script can access it. If you clear your browser data, the subscription record is removed permanently and cannot be restored by our team.

Where a booking requires coordination with a partner property, private charter service, or accredited carrier, we share only the specific details necessary to fulfil the arrangement — and only with your knowledge and consent. Payment details are processed through secure third-party providers and are not stored on our servers.

3. CLIENT DISCRETION

For high-profile clients requesting total anonymity, HOLIDAYCOVE implements NDA-backed travel routing and private guest registration protocols across all partner estates.

Discretion is a foundational principle of our practice. We do not publish client names, travel dates, or itinerary details without explicit written authorization. Where a client requires complete confidentiality, we can arrange for bookings to be made under an alias, for correspondence to be routed through a secure channel, and for all internal records to be flagged as confidential.

Our staff are trained in confidentiality protocols and are bound by internal non-disclosure agreements. Any breach of client trust is treated as grounds for immediate termination and, where appropriate, legal action.

4. DATA RETENTION

We retain personal information only for as long as it is necessary to fulfil the purposes for which it was collected. Itinerary records are retained for a reasonable period following the completion of travel to facilitate any post-trip requests or follow-up arrangements. Locally stored subscription data remains on your device until you choose to clear it.

5. YOUR RIGHTS

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict the processing of your personal information. Because much of the data we handle is stored locally in your browser, you can exercise many of these rights directly through your browser settings. For any server-side information we hold, requests should be directed to our privacy team and will be acknowledged within five working days.

6. SECURITY

We use industry-standard encryption for all electronic transmissions and restrict internal access to client information on a strict need-to-know basis. No system can be guaranteed completely secure, but we take every reasonable measure to protect the information entrusted to us. In the event of a security incident affecting your data, we will notify you as required by applicable law.

7. CONTACT

1. CURATION CONSULTATION

All bespoke travel itineraries created by HOLIDAYCOVE remain intellectual property. Redistribution or commercial execution of our custom routes without studio engagement is prohibited.

This includes the specific sequence of destinations, the selection of partner properties, the scheduling of experiences, and the written narrative that accompanies each itinerary. These elements represent the creative output of our studio and may not be reproduced, adapted, or reused in any form without prior written consent.

Clients are welcome to share their itinerary with family members, travel companions, and personal advisors. They are not permitted to resell, publish, or distribute the itinerary as a standalone product, or to commission a competing agency to execute it.

2. BOOKINGS & THIRD PARTIES

HOLIDAYCOVE acts as an elite travel atelier and curation consultant. While we partner exclusively with vetted boutique properties and private charter services, ultimate liability for third-party transport rests with accredited carriers.

We select our partners with great care, visiting properties in person and reviewing service records before adding them to our network. However, we do not own or operate the hotels, villas, yachts, aircraft, or ground transport that form part of an itinerary. Responsibility for the delivery of those services rests with the respective providers.

Where a partner fails to meet the standard we expect, we will intervene on the client's behalf to resolve the matter and will review the partnership. We cannot, however, accept liability for delays, cancellations, or service failures caused by third parties or by events beyond our reasonable control.

3. PAYMENTS AND CANCELLATION

Itinerary planning fees are payable at the time of engagement and are non-refundable once the planning process has begun. Payments for partner services are subject to the individual terms of each property or carrier, which will be disclosed in full before any booking is confirmed.

Cancellation policies vary by partner. Where a cancellation is initiated by the client, refunds are governed by the terms of the relevant supplier. Where a cancellation is initiated by us or by a partner, we will make every effort to arrange an equivalent alternative or a full refund of amounts paid through our studio.

4. TRAVEL DOCUMENTATION

Clients are responsible for ensuring they hold valid passports, visas, and any other documentation required for their itinerary. We provide guidance where possible but cannot accept responsibility for denied entry, missed departures, or other consequences of incomplete documentation.

5. INTELLECTUAL PROPERTY

All editorial content, photography, typography, and code published on this website are the property of HOLIDAYCOVE and its partners. Short excerpts may be quoted for review or commentary with attribution and a link back to the original page. Full reproductions require prior written consent.

6. LIMITATION OF LIABILITY

To the fullest extent permitted by law, HOLIDAYCOVE shall not be liable for indirect, incidental, special, or consequential damages arising from the use of this website or from participation in any itinerary. This limitation does not affect statutory rights or protections that cannot be excluded under applicable consumer law.

7. GOVERNING LAW

These terms are governed by the laws of the jurisdiction in which HOLIDAYCOVE is established. Any disputes shall be resolved in the courts of that jurisdiction, without prejudice to any additional protections provided by local consumer law.

8. CONTACT

Questions about these Terms of Service can be directed to legal@holidaycove.info.

1. MINIMAL LOCAL STORAGE

HOLIDAYCOVE utilizes lightweight local storage mechanisms solely to remember your preferred travel personality filters and newsletter state without tracking across unrelated external domains.

Unlike many modern websites, we do not deploy traditional cookies for advertising, profiling, or cross-site tracking. Instead, we rely on browser local storage — a similar but more privacy-respecting technology that keeps data entirely on your device and never transmits it with every request.

2. WHAT WE STORE

The following data may be stored locally in your browser when you interact with our site:

• Newsletter Subscription State: To remember whether you have subscribed, so you are not asked repeatedly.
• Travel Personality Filters: To preserve the preferences you have selected for itinerary suggestions.
• Saved Itineraries: To keep your shortlisted destinations available between sessions.
• Display Preferences: To remember your preferred view settings.

3. WHAT WE DO NOT STORE

We do not store advertising identifiers, cross-site tracking identifiers, browser fingerprint data, session recording data, heat-map data, or behavioural profile data. We do not deploy Google Analytics, Meta Pixel, or any equivalent visitor tracking tool. Any third-party resources we load, such as typography, are delivered as static assets and do not set cookies on our behalf.

4. MANAGING YOUR PREFERENCES

You have full control over local storage on your device. You can clear all locally stored data at any time through your browser settings. This will remove your subscription state, saved itineraries, and display preferences. Clearing this data does not affect any pending bookings or partner arrangements, which are handled through separate systems.

5. DO NOT TRACK

Because we do not track users, Do Not Track signals are honoured by default. There is no cross-site tracking to disable, no behavioural profile to opt out of, and no advertising ID to reset.

6. CHANGES TO THIS POLICY

We may update this Cookie Policy to reflect changes in technology or regulation. Material changes will be indicated by a revised effective date at the top of this page. Continued use of the site after changes take effect constitutes acceptance of the updated policy.

7. CONTACT

Questions about our use of cookies and local storage can be directed to privacy@holidaycove.info.
